BillMyTime is a Clockify add-on that turns approved timesheet hours into a standardised, multi-currency, tax-ready PDF in about ten seconds. We built it with the cake.com team, and it is on the Clockify marketplace today.

BillMyTime is not a separate product. It installs into the Clockify workspace your team already uses, so there is no second app to log into and no data to keep in sync.

THE PROBLEM

No two invoices
match.

Agencies have a clean process for invoicing their own clients. Receiving invoices from contractors is the opposite, and it lands on someone every single month.

  • Hours retyped by hand

    The time is already approved in Clockify. It gets copied into a Word document anyway, which is where the first transcription error enters the month.

  • Exchange rates from a search box

    A contractor bills in USD, the agency pays in EUR, and the rate comes from whatever a search returned that afternoon. Nobody can reproduce the number later.

  • Tax worked out per person

    VAT here, IRPF withholding there, GST somewhere else. Each contractor solves it their own way, and the agency inherits every interpretation.

  • Ten formats for ten people

    Every PDF has its own layout, its own field names, its own idea of what a line item is. Reconciling them is a monthly tax on the finance team.

  • Set the company details once

    Company name, tax ID and address go in at workspace level. Every contractor invoice is billed to them automatically, so nobody types them again.

  • Approve the month

    Approved time is the only time that can be invoiced. One review locks the hours, and the invoice can only ever match what was signed off.

  • Turn on reimbursable expenses

    One switch, and approved billable expenses start flowing onto contractor invoices alongside the hours.

For the contractor

  • Fill in your invoice details

    Name, tax ID, payment details, hourly rate, currency, invoice numbering and tax rules. Set once; every future invoice inherits them.

  • Submit the timesheet

    An ordinary Clockify timesheet, submitted for approval. There is no second tool to learn and no second place to enter time.

  • Generate the invoice

    Pick a month, load the preview, download the PDF. Hours, rates, currency conversion and taxes are already worked out.

  • Add expenses to the invoice

    Approved expenses arrive as a checklist. Untick anything you would rather not bill this month and the totals follow.

WHAT IT DOES

One format,
every contractor.

  • Ten seconds, not an evening

    The invoice is generated from approved and billable Clockify time. Nothing is retyped, so nothing is mistyped.

  • Real exchange rates

    Currency conversion uses live ECB rates, and the rate used is printed on the invoice with its date. The number is reproducible six months later.

  • Tax that is already calculated

    VAT, GST and IRPF withholding are configured once per contractor and applied in the right order: added to the subtotal, then subtracted.

  • Expenses on the same document

    Approved reimbursable expenses appear as their own section with dates, categories and notes. One document covers time and money out.

  • Sequential numbering per contractor

    Each contractor gets a prefix and a running count, so invoice numbers are unbroken and predictable, which is what tax authorities ask about.

  • Bill To set by the admin

    Company details come from workspace settings, not from whoever is filling in the form. Every invoice is addressed identically.
